Is Your Nonprofit Grant-Ready? The Checklist Funders Quietly Use
A beautiful mission statement will open a funder's eyes. đź‘€ But readiness is what opens their wallet. Here's the checklist funders quietly run through when they read your application.
đź“‘ Legal and registration
Incorporated and in good standing with your state
IRS 501(c)(3) determination letter
Active SAM.gov registration (for federal funds)
Required state charity registration, if your state has one
Current annual IRS Form 990 filing
👥 Governance
An active, independent board that meets regularly
Approved bylaws
Written board minutes
Conflict of interest policy (signed every year)
Whistleblower and document retention policies
đź’µ Financial
A program budget AND an organizational budget
A separate bank account for the nonprofit — never mixed with personal or LLC money
Bookkeeping software and a process for tracking money by grant
Financial statements (and, as you grow, a review or audit)
📊 Program proof
Who you serve and why (local data on reentry, homelessness, or recovery needs)
Your services, described clearly
Outcomes you track: housing stability, employment, program completion, return to custody
Success stories, with written permission
🤝 Community support
Letters of support from partners — probation, treatment providers, churches, employers, hospitals
Any MOUs (memorandums of understanding) with partners
✍️ The writing kit
Keep a "boilerplate" folder: mission, history, leadership bios, program description, budget narrative, and partner list. You'll reuse these in almost every application — and AI tools can help you adapt them faster. 🤖
Readiness is stewardship. When you prepare like the funding is coming, you position yourself to receive it. 🙏🏾
